Specify the window brand, series, and U-factor in the estimate
Listing the exact window specification prevents the client from approving your estimate and then requesting a cheaper window. If they want to switch to a different model, it's a change order.
Check egress requirements before ordering
Bedroom windows must meet egress requirements (minimum 5.7 sq ft opening, 24-inch height, 20-inch width). Replacing a code-compliant window with a smaller unit is a liability issue. Verify egress compliance for every bedroom window.
Include window disposal in the estimate
Old windows are large and awkward to dispose of. Add a 'removal and disposal' line at $25–$50/window. Clients often assume this is included — surface it so you're not absorbing a haul-away cost.

Always check local requirements. Include the permit fee as a separate line item — permit fees typically run $150–$500 depending on the municipality.
Rotted frames require full-frame replacement and potentially sill/jack stud repair. Add a conditional line: 'Frame/sill repair if rot found — $200–$400 per opening.' Photograph the existing frame condition during your estimate visit. When rot is found during installation, document it immediately and issue a change order before proceeding.
